These Terms & Conditions govern your use of the OnTime Cloud website and your general evaluation of OnTime Cloud services. They apply to business users, prospective customers, authorised customer representatives, and other visitors to ontime.com.my.
OnTime Cloud is operated by Septarian Sdn Bhd. OnTime Cloud is a business-to-business cloud attendance, workforce management, visitor management, reporting, compliance support, and operational workflow platform for organisations.
If a separate written agreement, order form, statement of work, data processing agreement, support agreement, quotation, or service contract applies to a customer, that document will govern the relevant subscribed service matters. These Terms apply only to general website use and service evaluation unless expressly incorporated into the applicable customer agreement.
You may use the OnTime Cloud website to learn about our services, review general business information, submit enquiries, request demos, contact our team, and evaluate whether OnTime Cloud may be suitable for your organisation.
Website content is provided for general business evaluation only. It is not a binding offer, technical specification, service level commitment, implementation commitment, integration commitment, or professional advice unless expressly incorporated into a written agreement signed or accepted by Septarian Sdn Bhd.
OnTime Cloud provides cloud-based attendance, workforce management, visitor management, reporting, compliance support, and related operational workflow capabilities for business customers. Features may include attendance capture, facial recognition or face verification where configured, shift scheduling, overtime approval, leave or absence records, visitor records, reports, dashboards, payroll-ready exports, APIs, device connectivity, and integrations with customer systems.
Actual subscribed features, environments, users, data capacity, support scope, integrations, implementation activities, and service levels depend on the applicable quotation, order form, agreement, configuration, and project scope.
The OnTime Cloud website does not operate as an ecommerce checkout. Browsing the website, submitting a contact form, requesting a demo, sending a WhatsApp message, or asking for pricing does not create a purchase contract, subscription, implementation obligation, service level commitment, or automatic customer agreement.
Commercial engagement with OnTime Cloud is handled through business discussion, quotation, proposal, order form, agreement, statement of work, subscription agreement, service contract, or other applicable written arrangement.
Demos, proposals, subscriptions, pricing, implementation, support, integrations, service levels, data migration, training, and commercial terms are subject to separate documents agreed between Septarian Sdn Bhd and the relevant customer.
If a separate written agreement, order form, statement of work, data processing agreement, support agreement, quotation, or service contract applies to a customer, that document will govern the relevant subscribed service matters. These Terms apply only to general website use and service evaluation unless expressly incorporated into the applicable customer agreement.
Any pricing, estimate, proposal, or quotation is subject to its validity period, scope assumptions, taxes, third-party charges, implementation requirements, and written confirmation by Septarian Sdn Bhd.
Where demo, trial, pilot, sandbox, or evaluation access is provided, it is made available only for authorised business evaluation and may be limited in duration, features, users, data volume, support, integrations, or service availability.
Demo, trial, pilot, sandbox, or evaluation access should not be used for live payroll, statutory, safety-critical, access-control, or production decisions unless expressly agreed in writing by Septarian Sdn Bhd.
Customers and authorised users are responsible for:
For customer-controlled attendance, workforce, visitor, contractor, biometric/photo, location, device, and payroll-ready data, the customer is generally responsible for determining the purpose, scope, lawful basis, internal policy, user access, retention period, and permitted use of such data.
Customers and users must keep login credentials secure, restrict access to authorised personnel, review administrator privileges, and notify OnTime Cloud promptly if they suspect unauthorised account use, compromised credentials, or misuse of the service. Customers are responsible for activity performed under their authorised accounts unless the applicable written agreement states otherwise.
Where customers enable attendance capture, photo verification, face recognition, GPS or location capture, device logs, terminal logs, visitor access control, contractor records, or workforce monitoring features, customers are responsible for ensuring that such use is lawful, proportionate, communicated to affected individuals, and supported by consent or other lawful authorisation where required.
Customers are also responsible for deciding which features to enable, which data to collect, who may access that data, how long data should be retained, and how employee, contractor, or visitor requests should be handled within the customer organisation.
Our processing of personal data is further described in our Privacy Policy. Customers should ensure that their employees, contractors, visitors, and authorised users are provided with appropriate notices and that any required consent or lawful authorisation is obtained before data is processed through OnTime Cloud.
We aim to provide a reliable service, but OnTime Cloud may be unavailable from time to time due to planned maintenance, updates, infrastructure issues, outages, third-party service disruption, security incidents, force majeure events, customer environment issues, or circumstances beyond reasonable control.
Customers are responsible for reviewing exported reports, maintaining any internal records required by their organisation, and ensuring that data retention, backup, recovery, or export requirements are addressed in the applicable agreement or configuration. Any uptime, support, backup, recovery, retention, or export commitment applies only where expressly agreed in writing.
OnTime Cloud may support integrations with payroll systems, SAP, ERP, finance platforms, HR systems, biometric terminals, attendance devices, access-control systems, messaging systems, reporting tools, APIs, scheduled exports, or file exchange workflows.
Integrations with payroll, SAP, ERP, HR, biometric terminals, attendance devices, access-control systems, APIs, exports, or third-party systems depend on customer systems, API availability, credentials, third-party uptime, data mapping, file formats, business rules, access rights, and agreed configuration. Septarian Sdn Bhd does not guarantee any integration unless it is expressly confirmed in a separate scope, quotation, or agreement.
Where hardware devices, biometric terminals, access-control terminals, mobile devices, cameras, networks, or third-party infrastructure are used, performance may depend on device condition, firmware, network connectivity, customer environment, user behaviour, and supported technical capability.
OnTime Cloud may support attendance calculations, reports, overtime records, shift records, leave records, visitor records, approvals, dashboards, exports, and payroll-ready outputs. Customers remain responsible for reviewing and validating payroll, statutory, employment, HR, operational, and compliance decisions before relying on any output.
OnTime Cloud is an operational software platform. It is not a substitute for professional legal, tax, payroll, employment, HR, or statutory compliance advice.
Implementation, configuration, training, data migration, device setup, integration, report customisation, and support services are subject to the agreed scope, customer readiness, technical dependencies, and separate commercial documents. Customers are responsible for timely cooperation, accurate data, access to relevant systems, internal approvals, testing, and user acceptance where required.
System behaviour, approval workflows, attendance rules, overtime rules, visitor access rules, alerts, reports, dashboards, and integrations may vary depending on the configuration agreed with the customer. Customers are responsible for reviewing and accepting configuration outputs before operational reliance.

For subscribed services, any liability limit, remedy, exclusion, or allocation of responsibility will be governed by the applicable written customer agreement.
